Equipment Management for Landscaping Companies

A chainsaw without a valid UVV inspection poses a liability risk—a scrubber-dryer that’s overdue for service is an expensive breakdown. Simply manage.

What you record in Inventory ONE

Chainsaws & handheld power tools
Every chainsaw, including its serial number, UVV inspection interval, last inspection date, and chain and guide bar history.
Brush cutters, hedge trimmers & leaf blowers
Motor-driven equipment subject to inspection, including DGUV inspection intervals, last service date, and responsible technician.
Ride-on mowers & large mowers
High-end mowers with operating hour tracking, maintenance intervals according to the manufacturer's specifications, and repair history.
Construction Equipment & Attachments
Mini excavators, vibratory plates, and dump trucks subject to mandatory inspections, operating hours, and maintenance schedules.
Everything in view.

This ensures that no maintenance appointments will be missed

Digital device file per device

Each piece of equipment gets its own profile: serial number, proof of purchase, warranty status, all inspection and service reports, repair history, and current location. No more searching through paper files or asking last season’s foreman.

Automatically monitor safety inspection and service intervals

Simply enter the inspection or service interval for each piece of equipment once. Inventory ONE calculates the next due date and sends a timely reminder—whether it’s for the annual UVV inspection of a chainsaw or the 50-hour service for a ride-on mower.

Track operating hours for service interval-based maintenance

For equipment with maintenance based on operating hours (mowers, excavators, dump trucks), enter the service interval in hours. Inventory ONE will remind you when the next inspection is due—before costly engine damage occurs.

Repair costs per device at a glance

Every repair is documented with details on cost, the repair shop, and the device's downtime. This allows you to see at a glance which devices are incurring disproportionately high maintenance costs—the basis for deciding whether to repair or replace them.

With Inventory ONE, you can see at any time where which devices are located, who is currently using what, who has reserved what and when, or whether maintenance or inspection dates are due for certain devices. You can also view your stock at all times.

Inventory ONE also gives you a very good overview of your consumables, such as masking film, adhesive tape, nails, etc., at all times. When the specified quantity of a material is reached, you are automatically reminded of what needs to be reordered via the application and by e-mail.

To ensure that your appliances are always in good working order, appointments can be created so that you don't miss any maintenance or prescribed checks. You will be automatically reminded of the appointment in the app and by email if you wish.

With Inventory ONE, every authorized person has access to information about the devices. In addition to the overview, reservations and appointments, you can also upload information (such as user manuals) for a device, which can be accessed anytime and anywhere.

Inventory ONE can process scanned QR codes. Although these are not absolutely necessary, they save you a lot of time if you want to enter new devices or retrieve data on existing inventory. Inventory ONE offers QR codes that are ideal for this at a reasonable price (More info). But Inventory ONE can also process the existing barcodes on your devices.

Assignments in Inventory ONE are very flexible. Devices can be assigned not only to colleagues and employees, but also to external persons, projects, locations and rooms. You can also flexibly set the access rights in Inventory ONE. Employees can independently pass on and exchange equipment among themselves and document this in a verifiable manner. For example, if you assign a device to an employee, this action is actively confirmed by the employee concerned. The same happens in reverse when the equipment is returned.

When equipment is issued or loaned out, you can quickly find each individual piece of equipment using our detailed search function. You can also specify whether employees can search the entire equipment or only for individual devices assigned to them.

To organize your operating resources in the best possible way, you need the option of reserving individual tools and machines directly in the system. This is exactly what Inventory ONE makes very easy to do. This practical function will help you to plan the use and availability of operating resources well. This avoids hassle and no one will be unpleasantly surprised if, for example, a piece of equipment that is urgently needed is not available.

If certain devices cause problems or are damaged, employees can record this directly in the app. In their overview, those responsible can always see whether a new problem has been reported and can therefore react in good time. This prevents the problem from being remembered until someone already needs the device.

With Inventory ONE, you can see the "life cycle" of all devices. How long has it been in your company, who has used it and for how long, and what was its overall utilization? When was it broken, when was it repaired and when was it serviced? This information is not only helpful as proof, but also when planning the purchase of new equipment. Our software makes the complete documentation of your equipment very easy.

For the initial equipment of new employees or for recurring projects, Inventory ONE supports you in issuing the required equipment. In this case, lists can be defined which equipment is issued as standard. This saves you a lot of time with recurring tasks.

Have you already recorded your devices in a large Excel list or have you been using other device management software? In this case, we will be happy to help you move to Inventory ONE. With our data import, the switch is usually straightforward. And if the existing data is a little more complex, we will be happy to help you with the import.

Inventory ONE was developed to make day-to-day work in the construction industry much easier. It may make sense to integrate the application into your IT environment. If you need interfaces for this, please contact us.

Inventory ONE is currently available in German, English, French and Italian. Other languages will follow. If you urgently need another language, please let us know. Our experts will try to help as quickly as possible.

Case Study: Landscaping company with five chainsaws and overdue UVV inspections

A landscaping company in the Freiburg area ran into a problem during an inspection by the employers' liability insurance association: of the five chainsaws in use, three had expired UVV inspections. The inspection dates were listed in the site manager’s notebook, which hadn’t been updated since last season. After implementing Inventory ONE, every chainsaw was digitally recorded and its UVV inspection interval was entered. Since then, inspection dates have appeared in the dashboard 30 days in advance. The next inspection went off without a hitch.
