What you record in Inventory ONE

Hand Tools & Tool Sets
Wrenches, pliers, hammers, chisels—recorded individually or as a set, with an issuance history by technician.
Power Tools & Cordless Tools
Drills, angle grinders, jigsaws, circular saws—all subject to mandatory DGUV inspection, with serial numbers and maintenance history.
Measuring devices & test equipment
Multimeters, laser rangefinders, thermal imaging cameras, pressure gauges—with calibration intervals and assigned to a qualified technician.
Vehicle equipment
What is permanently installed or stowed in each vehicle? Tools are clearly assigned to each vehicle.
Everything in view.

Track tools seamlessly - from issue to return

Example images of the Inventory ONE application

Issuance via QR code prior to the customer order

When picking up tools from the workshop, technicians scan a QR code with their smartphones. In seconds, the system records who, what, for which job, and by when. No need to fill out paper forms—nothing gets forgotten.

Toolbox returned in full

An electrician's kit, a plumbing toolbox, a pipe tool set—record related tools as a set. When the tools are returned, the system checks to ensure they are complete. Missing parts are immediately identified before the next technician sets out with an incomplete set.

Automatically track inspection dates for power tools

Power tools are subject to mandatory DGUV inspections. Inventory ONE automatically sends reminders before each due date—ensuring that no angle grinders with expired inspections remain on the customer’s premises.

Identify losses immediately after orders are placed

Tools that haven't been returned automatically appear as overdue in the dashboard. You can see who had them and which customer they were last with—as long as the job is still recent and can be followed up on.

With Inventory ONE, you can see at any time where which tools are located, who is currently using what, who has reserved what and when, or whether maintenance or inspection dates are due for certain tools. You can also view your stock at all times.

Inventory ONE also gives you a very good overview of your consumables, such as adhesive tape, screws, nails, etc., at all times. When the specified quantity of a material is reached, you are automatically reminded via the application and by e-mail of what needs to be reordered.

To ensure that your tools are always in good working order, appointments can be created so that you do not miss any maintenance or prescribed inspections. You are automatically reminded of the appointment in the app and by email if you wish.

With Inventory ONE, every authorized person has access to information about the tools. In addition to the overview, reservations and appointments, you can also upload information (such as user manuals) for a device, which can be accessed anytime and anywhere.

Inventory ONE can process scanned QR codes. Although these are not absolutely necessary, they save you a lot of time if you want to enter new tools or retrieve data on existing inventory. Inventory ONE offers QR codes that are ideal for this at a reasonable price (More info). Inventory ONE can also process the existing barcodes on your tools.

Assignments in Inventory ONE are very flexible. Tools can be assigned not only to colleagues and employees, but also to external persons, projects, locations and rooms. You can also flexibly set the access rights in Inventory ONE. Employees can independently pass on and exchange tools with each other and document this in a verifiable manner. For example, if you assign a tool to an employee, this action is actively confirmed by the employee concerned. The same happens the other way round when a tool is returned.

When tools are issued or loaned out, you can quickly find each individual piece of equipment using our detailed search function. You can also specify whether employees can search the entire equipment or only for individual tools assigned to them.

To organize your tools in the best possible way, you need the option of reserving individual devices directly in the system. This is exactly what Inventory ONE makes very easy to do. This practical function will help you to plan the use and availability of tools well. This avoids hassle and no one will be unpleasantly surprised if, for example, a piece of equipment that you urgently need is not available.

If certain tools ever cause problems or become damaged, employees can record this directly in the app. In their overview, those responsible can always see whether a new problem has been reported and can therefore react in good time. This prevents the problem from being remembered until someone already needs the tool.

With Inventory ONE, you can see the "CV" of all tools. How long has it been in your company, who has used it and for how long, and what was its overall utilization? When was it broken, when was it repaired and when was it serviced? This information is not only helpful as proof, but also when planning the purchase of new tools. Our software makes the complete documentation of your equipment very easy.

For the initial equipment of new employees or for recurring projects, Inventory ONE supports you in issuing the required tools. In this case, lists can be defined as to which devices are issued as standard. This saves you a lot of time with recurring tasks.

Have you already recorded your tools in a large Excel list or have you been using other tool management software? In this case, we will be happy to help you move to Inventory ONE. With our data import, the switch is usually straightforward. And if the existing data is a little more complex, we will be happy to help you with the import.

Inventory ONE was developed to make the day-to-day work of trade businesses much easier. It may make sense to integrate the application into your IT environment. If you need interfaces for this, please contact us.

Inventory ONE is currently available in German, English, French and Italian. Other languages will follow. If you urgently need another language, please let us know. Our experts will try to help as quickly as possible.

Case Study: Electrical contractor with 8 technicians and weekly tool losses

An electrical contractor in the Cologne area with eight technicians had a familiar pattern: after major construction projects, multimeters, cable lug cutters, and cordless drills were regularly missing. Since no issuance logs were kept, it was never possible to track which technician had taken what, or whether the tool had been left at the customer’s site, lost, or simply left in a vehicle. Since the introduction of Inventory ONE, every tool is assigned to the technician via a QR code upon pickup. Missing returns appear on the dashboard every morning. Tool loss has been cut in half in the first year.
